Job Responsibilities:

  • Office Management:
    • Maintain office supplies, equipment, and inventory.
    • Handle incoming and outgoing mail/couriers.
    • Organize and maintain filing systems (physical & digital).
  • Communication & Coordination:
    • Answer and direct phone calls, emails, and inquiries.
    • Schedule meetings, appointments, and travel arrangements.
    • Assist in preparing reports, presentations, and correspondence.
  • Data Entry & Record Keeping:
    • Update databases, employee records, and customer information.
    • Assist in documentation and compliance tasks.
  • General Support:
    • Assist HR with onboarding new employees.
    • Coordinate with other departments for administrative tasks.
    • Handle petty cash and basic expense tracking.
  • Bookkeeping & Data Entry:
    • Process invoices, receipts, payments, and expenses.
    • Maintain accurate financial records in accounting software (e.g., QuickBooks, SAP).
  • Accounts Payable & Receivable:
    • Assist in processing supplier/vendor payments.
    • Follow up on customer payments and send payment reminders.
    • Reconcile bank statements and transactions.
  • Payroll & Expense Support:
    • Assist in payroll processing (timesheets, deductions, etc.).
    • Track employee expenses and reimbursements.
  • Reporting & Compliance:
    • Prepare basic financial reports (e.g., balance sheets, P&L).
    • Assist in audits and tax filing preparations.
    • Ensure compliance with accounting policies.
