This position reports directly to General Affairs HOD. Closely working with Procurement and Operations, primarily but not limited to handling and managing facilities-related operations and tasks.
Job Description:
- Assist the General Affairs HOD & Facilities & Procurement lead in the daily operations of the Singapore office and various warehouses island-wide
- Manage all aspects of daily facilities maintenance (M&E Services) / upgrading/repairs, support operations,
- Service contract administration, manage tenancy agreements, security, housekeeping and warehouse operations
- Plan, implement and execute preventive maintenance regime and/or ad-hoc upgrading projects and monitor the work progress.
- Source for comparative vendors/sub-contractors to carry out facility maintenance/repair works
- To ensure day-to-day facility operations are carried out smoothly; oversee outsourced vendors on preventive maintenance and any other ad-hoc repairs/ enhancements.
- Conduct safety toolbox meetings and briefings to facility staff
- Ensure compliance to relevant statutory requirements and good support to various internal departments
- Address any facilities and/or operations-related queries staff, stakeholders and various regulatory authorities
- Supervise contracted staff from the appointed vendors and ensure that the vendors fulfill the service level requirement
- Develop or support in documenting the necessary SOPs, flows and Business Continuity Plans related to facilities
- Supervise contracted staff during the conduct of any related exercises and trainings to ensure their proficiency
- Support in project costing analysis, budgeting and maintenance of approved budget
- Work closely with Procurement Department to prepare and manage related tenders and contracts with appointed vendors
- Facilitate incident investigation whenever necessary.
Requirements:
- Possess minimum of a Diploma in Mechanical/Electrical Engineering, Building/Facilities/Real Estate Management or equivalent
- Minimum 2 years of relevant work experience in warehouse or real estate facility management environment. Logistics / Supply Chain / Express Delivery companies will be an advantage
- Certified in Fire & Safety is an advantage
- Good interpersonal and communication skills.
- Good command in written and spoken English and Chinese as to communicate effectively with our China counterpart and Chinese-speaking customer.
- Analytical & Solution-provision skills
- Proficiency in MS office: Word, Excel and Powerpoint including Chinese word processing.
