Part 1 – Receptionist
- Answer phone calls and direct to right person / department.
- Greet clients and visitors on arrival at Reception.
- Inform relevant member of staff of the client/visitor’s arrival arrange/escort for them to meet up with the relevant people on level 1 or level 2 whichever requested. If on level 2, prepare the room, turn aircon beforehand etc.
- Deal with clients’ requests during the course of meetings such as organizing photocopying and booking taxis or grab car.
- Order taxis or grab car for visitors as required.
- Manage the meeting room, and 2 discussion rooms occupancy. Maintain record and booking system for meeting rooms, projectors and presentation clickers.
- In-charge of the whole level G. Ensure the reception area is kept clean and tidy all the times.
- Liaise with the cleaner to ensure that office and pantry is kept clean and presentable.
- Manage the tidiness and cleanliness of office outdoor area, including maintenance of grass etc.
- Ensure staff do not linger in reception unless on firm’s business.
- Assists with employee social event, engagement and welfare activities i.e. birthday celebration, CNY, HRP, Christmas etc.
- Assists with the arrangement of training set-up.
- Process incoming handle Customer Service tasks via email.
Part 2 – Admin
- Sort all post on arrival and arrange for prompt delivery.
- Assists with filling of the courier service consignment note and sort an outgoing post ready to be taken off-site.
- Arrange for printer maintenance or contact printer supplier when machine breaks down.
- Assists Halal Team for printing documentation as needed such as Halal Awareness Training Certificate.
