Position: Human Resources Assistant

Qualification/ Skills: Diploma/ Degree in Human Resources Management/Business Management/ Administration

Work related experience: 2 to 3 years of experience in HR related functions

Working Location: Senai, Johor

Responsibilities:

  • Process and monitor monthly rental, utilities, dormitory fees and other invoices related to the dormitories
  • Monitor dormitory tenancy agreements renewals
  • Arrange regular audit inspection in the dormitory
  • Monitor dormitory cleanliness, damage items, safety issue and others related matters
  • Update the dormitory occupants listing
  • Assist in room arrangement for the new workers
  • Assist to send the workers to the hospital or clinic if they are sick especially after office hours
  • Process monthly security guard invoices
  • Communicate with security company for any issues related to the security guards
  • Monitor and checking security guard log book and monitor the security clocking activity
  • Update the security guard team regarding the holidays or plant shutdowns Company
  • Update the security guard team for any contractors’ work during the company shutdown
  • Monitor the parking inside the company
  • Arrange the newcomers for bank account opening
  • Assist the workers for replacement of bank card for damage or lost CIMB Bank card
  • Communicate with the Bank for any blocked or scamming activities and assist the worker to lodge police report
  • Assist in arranging the workers to go to Bank to update their passport and permit information
  • Assist in the arrangement of migrant workers’ passport and permit matters
  • Prepare the travel document (surat jalan) if the migrant worker is travelling
  • Monitor the workers uniforms’ stock and distribute the uniforms to workers accordingly (Yearly and for replacement)
  • Keep up the in and out record for the uniforms
  • Request to make purchase orders for the uniforms
  • Arrange the lockers for the new workers
  • Monitor the lockers of the workers
  • Arrangement of duplicate keys for the workers who lost their locker ke
  • Inform workers to return back Uniform and Locker Key upon resignation or end contract.
  • Purchase of flight ticket for the expatriates based on requested date, time, type of flight and weight of luggage
  • Send the flight details to the expatriates via email
  • Monitor invoice of travel agents for expatriates
  • Announce workers regarding upcoming event as well as updated rules and regulation of the company. Monitor CCTV from time to time
  • Provide the requested CCTV footage by the management
  • Monitor foreign worker attendance for the monthly invoices
  • To check and update the renewals of the agreements for the expatriates’ housing and cars
  • To assist the Managing Director in processing the claims
  • To assist the Managing Director in terms of administrative functions
  • To prepare the memo related to the official announcements
  • To update the SOCSO portal
  • To provide clerical support to the team eg : checking of invoices, receipt of Courier
