Job Responsibilities:

a) Client Enquiry Management:

  • Receive updated Sales-in-Progress (SIP) from the Marketing team and blast email to interested prospective clients. 
  • Engage with clients to understand and document their requirements, event objectives, and booth specifications.
  • Provide initial advice on booth design, materials, and budget considerations.

b) Quotation Preparation:

  • Collaborate with internal teams and suppliers to create cost estimates.
  • Prepare and present detailed and competitive project quotations based on client needs.
  • Address client queries and make necessary revisions to quotations as required.

c) Design Coordination:

  • Liaise with the Design department to produce booth designs that align with client requirements and project objectives.
  • Ensure designs are feasible, cost-effective, and compliant with venue regulations.
  • Review and present design proposals to clients, incorporating their feedback into final revisions.

d) Project Planning & Coordination:

  • Develop preliminary project plans, including timelines, budgets, and resource requirements.
  • Coordinate with suppliers and vendors to confirm material availability and delivery schedules.
  • Ensure project plans meet all compliance and regulatory requirements.

e) Client Communication & Approvals:

  • Maintain consistent communication with clients to provide updates and address concerns.
  • Finalize and secure contracts, ensuring all terms are agreed upon and documented.

f) Documentation & Compliance:

  • Prepare and organize comprehensive project documentation, including contracts, design renderings, and material specifications.
  • Work closely with the Operations team to ensure a thorough handover of confirmed jobs, including all project details, approved designs, and client requirements.
  • Highlight any potential challenges or special considerations for the operations phase.
  • Provide support to the Operations team when necessary.

g) Onsite Support (as needed):

  • Occasionally, provide on-site support during the installation, event, or dismantling phases.
  • Ensure that project requirements and client expectations are met while onsite, assisting the Operations Executive and team as needed.
  • Troubleshoot any issues that may arise during the setup or event.

h)Stakeholder Coordination:

  • Collaborate with suppliers, vendors, and subcontractors to ensure timely delivery and quality of materials.
  • Work closely with internal teams to align on project deliverables and timelines.
  • Address and resolve any issues during the pre-operational phase to avoid disruptions.

Job Requirements:

  • Minimum Degree/Diploma, preferably in Hospitality Management, Event Management, Business Administration, or related fields.
  • Minimum one year of experience in the MICE (Meetings, Incentives, Conferences, and Exhibitions) industry.
  • Technical knowledge in conceptual design drawing and floor plans.
  • Owning a vehicle is recommended for ease of travel.
  • Able to travel outstation and overseas independently.
  • Able to work during weekends and public holidays.
  • Required languages: Fluent in English & Mandarin.
  • Proficient in Microsoft Word/Excel/Project.
  • Good communication skills. Pragmatic, meticulous, and multitasker.
  • Knowledge of furniture, materials, and finishes will be an added advantage.
