Job Responsibilities:

1. Administrative & Customer Handling

  • Handle K1 & K2 documentation and coordinate with authorities for customs clearance
  • Manage documentation for foreign worker hostels and liaise with relevant authorities
  • Prepare and process Delivery Orders (DOs) and Purchase Orders (POs)
  • Issue purchase requisitions for office and production stock items
  • Maintain and update attendance records, leave applications, and overtime summaries
  • Assist in onboarding and orientation for new employees
  • Act as a liaison between customers and production teams to ensure smooth communication and timely deliveries

2. Production Support & Coordination

  • Assist in scheduling and coordinating production plans to meet customer demand
  • Track stock levels and assist in inventory control and restocking activities
  • Monitor and update production data to ensure efficiency and quality compliance
  • Provide backup support to the Production Manager in overseeing workflows
  • Coordinate with suppliers to ensure timely procurement of production materials

3. Compliance & Reporting

  • Maintain accurate records for employee attendance, leave, and overtime for payroll
  • Ensure compliance with company policies and workplace safety regulations
  • Prepare and submit monthly reports on stock, procurement, and administrative functions
  • Support internal and external audits by ensuring proper documentation is in place

Job Requirements:

  • Education: Minimum Diploma in Administration, Business Management, or Production-related fields.
  • Experience: 1–2 years of experience in administration, production coordination, or a related role
  • Technical Knowledge:
    • Basic understanding of production planning and inventory control
    • Familiarity with HR documentation and compliance (K1/K2, hostel registration, payroll prep)
  • Software Proficiency:
    • Microsoft Office (Excel, Word).
    • Production management software or ERP systems.
  • Communication Skills:
    • Good coordination skills for dealing with both internal teams and external parties
    • Attention to detail and a proactive attitude in handling responsibilities
