Job Responsibilities:
1. Administrative & Customer Handling
- Handle K1 & K2 documentation and coordinate with authorities for customs clearance
- Manage documentation for foreign worker hostels and liaise with relevant authorities
- Prepare and process Delivery Orders (DOs) and Purchase Orders (POs)
- Issue purchase requisitions for office and production stock items
- Maintain and update attendance records, leave applications, and overtime summaries
- Assist in onboarding and orientation for new employees
- Act as a liaison between customers and production teams to ensure smooth communication and timely deliveries
2. Production Support & Coordination
- Assist in scheduling and coordinating production plans to meet customer demand
- Track stock levels and assist in inventory control and restocking activities
- Monitor and update production data to ensure efficiency and quality compliance
- Provide backup support to the Production Manager in overseeing workflows
- Coordinate with suppliers to ensure timely procurement of production materials
3. Compliance & Reporting
- Maintain accurate records for employee attendance, leave, and overtime for payroll
- Ensure compliance with company policies and workplace safety regulations
- Prepare and submit monthly reports on stock, procurement, and administrative functions
- Support internal and external audits by ensuring proper documentation is in place
Job Requirements:
- Education: Minimum Diploma in Administration, Business Management, or Production-related fields.
- Experience: 1–2 years of experience in administration, production coordination, or a related role
- Technical Knowledge:
- Basic understanding of production planning and inventory control
- Familiarity with HR documentation and compliance (K1/K2, hostel registration, payroll prep)
- Software Proficiency:
- Microsoft Office (Excel, Word).
- Production management software or ERP systems.
- Communication Skills:
- Good coordination skills for dealing with both internal teams and external parties
- Attention to detail and a proactive attitude in handling responsibilities
