SUMMARY:
A hostel Admin. Assistant mainly in managing daily operation by handling inquiries, processing on check-ins/outs, managing bookings, preparation of tenancy agreement, maintaining tenant records and ensuring cleanliness and safety. Key duties include administrative tasks like filing, correspondence, and supply management, while also supporting staff and engaging in customer service for tenants and visitors. Strong organizational, communication and interpersonal skills are crucial along with proficiency in office software.
Job Description
- Process new tenant applications, manage check-ins and check-outs.
- Maintain accurate tenant records and room assignments
- Handle tenant inquiries and provide information about hostel policies
- Manage incoming and outgoing correspondence (emails, call, mail)
- Maintain filing systems and ensure documentation is up to date
- Order and manage stock usage(cleaning utilities) in the hostel
- Assist with scheduling meetings and appointments
- Monitor hostel cleanliness, safety and discipline
- Provide customer service to tenants and visitors
- Liaise with maintenance , housekeeping staff, hostel warden/supervisor
- Preparation of tenancy agreement with relevant documents required.
- Coordinating with other departments as needed
- Answering phones, greeting visitors and providing accurate information.

- Ability to manage multiple task, prioritize and maintain order
- Excellent verbal and written communication for interacting with tenant, staff and vendors
- Familiarity with office software such as Microsoft Office
- A welcoming and supportive attitude to assist tenants and visitors
- Ability to work effectively with diverse individuals and handle sensitive issues with integrity
- Ability to address and resolve issues promptly.
