Roles & Responsibilities

The main responsibilities and tasks of this position are listed as, but not limited to the following:

 

  • Ensure to answer within 3 rings promply and identify callers clearly and transfer calls accurately to the appropriate parties with courtesy.
  • Handling messages with professionaism and confidentiality, respecting the privacy of the guest and internal staff.
  • Program the wake-up calls requested with the Hotel computer system.
  • Sending jobs request from in-house guests and internal department.
  • Taking Ellenborough Market Café reservations
  • Ensure that all wake-up calls and reminders are promptly and correctly executed.
  • All feedback to gather input from guest and internal staff and to keep record for future reference.
  • Sharing informations on Food & Beverage promotions and able to handle F&B enquiries.
  • Check the main email address reqularly to ensure timely responses to incoming messages and prioritize based on urgency and important, reponding to critical messages promply.
  • Ensure that staff are train managing bookings and knowledgeable about the SPA services.
  • Ensure staff mannaging the order are well verse to in room dining menu.
  • In case of fire alarm, to evacuate calmly following designated route and call emergency services immediate and provide clear informations.
  • Ensure that all TV channels are check on regular basis and to report to vendor if problems cannot be resolved.
  • Note daily events and new instructions on the white board in the Telephone Department.
  • Assist in changing faulty phones, where applicable.
  • Assist guests and team member on relevant enquiries.
  • Transmit or relay accurately and promptly all messages requested by guests and team member.
  • Assist guests and team members for connection on overseas calls.
  • Report to Superior of any fault or incidence encountered during working hours.
  • Call the doctor/ambulance for guests or team members when required and the police or fire-engine when the urgency arises.
  • Providing information to guest about the hotel, share details such as room amenities, dining, check in / check out procedures, WIFI access, parking facilities. Ensure that all information shared according to SOP.
  • To perform any other duties that may be assigned by the Management.
