  • Assist the Unit Head on the administrative functions in tender exercises (eg. preparation of tender documents, facilitation of communications with bidders, compilation of evaluation documents, etc).
  • Conduct the relevant sourcing exercise according to the defined threshold and ensure process compliance at all times.
  • Manage the activities related to the preparation and processing of ordering documents in compliance with organization’s policies and procedures Monitor the vendors’ actual delivery date against committed date to ensure satisfactory delivery standards rendered by vendors.
  • Perform on-going negotiation with existing vendors for better purchase dealings which include price reduction, FOC quantity, rebate value, better quality products, etc.
  • Liaise with respective vendors on price disputes or discrepancies in the invoices and resolve the issue in order to avoid overdue invoices or suspension of accounts.
  • Source alternative or secondary-line vendors to avoid any undelivered items due to non-performing vendors or vendors’ insufficient stock supply which can impact the business operation. The alternative vendors will be required to supply items that are similar at quality, delivery capabilities as per the primary vendors with the favourable terms to the company.
  • Ensure the procurement management systems and controls are executed efficiently and with utmost integrity.
  • Maintain proper, accurate and updated records on procurement documents at all times to ease the tracking process whenever required.
  • Act as the main contact point for communications or correspondences between vendors and BUs with regards to Procurement projects or any arising issues.
  • Analyze Procurement trend and vendor performance report to derive relevant Procurement input which can assist in decision making on appointment of vendors and cost-saving exercise.
  • Ensure full compliance of company policies standard at all times.
  • Undertake ad-hoc project as assigned from time to time.
  • Ensure proper documentation, arrangements, correspondences and reports are recorded, filed and consistent with company guidelines and procedures

Salary: RM3,000.00 – RM4,000.00 per month
