Responsibilities we will trust you with:

  • Ensuring the highest level of confidentiality and integrity when dealing with all private and confidential matters.
  • Managing the calendar of the Head of Department and Senior Executives.
  • Arranging and coordinating periodic meetings with internal/external counterparts.
  • Coordinating and making bookings for business travel arrangements when required.
  • Ensuring prompt and accurate processing of claims submissions for the Senior Executives.
  • Supporting the department in general administrative duties and processes, such as organizing meeting schedules, raising requests, and following through in the areas of procurement, IT, manpower, as well as basic financial matters (e.g., processing invoices and submission of expense claims) and basic HR processes.
  • Coordinating and administering staff transfers, on-boarding, and off-boarding for the department.
  • Maintaining inventory for general office logistics, including ordering and replenishing stock for office stationery and pantry items.
  • Initiating procurement requests and monitoring the status of requests.
  • Handling travel requests/bookings for the department.
  • Fulfilling other administrative support duties as needed.

 

Your areas of knowledge and expertise that matter most for this role:

  • A Diploma/Nitec in any discipline.
  • Preferably with prior secretarial and administrative experience.
  • Organized, meticulous, and has an eye for details.
  • Ability to multitask and work under tight timelines.
